If your role includes vote-creation permission, you can create a full-board or committee vote, set its deadline, attach supporting material, and optionally notify eligible members by email.
Before you begin: Confirm the audience, deadline, and supporting documents. Selecting the email option sends a real notification when the vote is created.
Create the vote #
- Open Votes → Items Requiring Action.
- Select Add Vote. If the page says you do not have permission, ask an authorized administrator or vote manager to create it.
- Enter the required Description of Vote.
- Set the Voting Deadline date and time.
- Optionally add supporting documents:
- Select Select from Document Library to link an existing BoardSite document.
- Or upload a new XLS, XLSX, DOC, DOCX, CSV, or PDF file.
- Add optional Additional Details.
- Under Committee Access, choose Full Board or an available committee. The choices depend on your own permissions and committee access.
- Select Send an email notification of this new vote to all board members? only when the vote is ready for recipients.
- Review the description, audience, deadline, documents, and notification choice, then select Create Vote.
What happens next #
BoardSite opens the vote detail page. Eligible voters can find an open vote in Items Requiring Action; vote managers can monitor responses from the detail page.
Troubleshooting #
- If Add Vote is visible but the destination denies access, your effective role does not include vote creation.
- If Full Board is unavailable, your role may be limited to one or more committees.
- If a document is missing from the library selector, verify its visibility and committee access.
