Send a reminder from an upcoming meeting’s workspace. BoardSite shows the reminder history and the number of eligible recipients before you send.
Before you begin: You need permission to send reminders for the meeting. The Reminder button appears only for a future meeting.
Send a reminder #
- Open Meetings → Upcoming.
- Select the meeting title.
- Select Reminder in the meeting toolbar.
- In Send Reminder Email, review:
- the total reminder count;
- when the last reminder was sent and who sent it;
- how many recipients received the previous reminder; and
- the number of recipients eligible for the new reminder.
- Select Send Now.
- Wait for the success message before closing the window.
Who receives the reminder? #
The reminder is sent to permitted meeting participants who have not submitted an RSVP and have not declined. For a committee meeting, recipients are limited to people with access to that committee meeting.
Important: Selecting Send Now sends external email and creates an in-app notification. Review the recipient count before sending.
If the Reminder button is missing #
- Confirm that the meeting is in the future.
- Confirm that you opened the meeting itself, not only the Upcoming Meetings list.
- Ask an administrator to review your reminder permission for that meeting.
Troubleshooting #
- If the recipient count is zero, participants may already have responded or may not have access to the meeting.
- If BoardSite reports an error, do not repeatedly select Send Now. Close the dialog, check the reminder history, and try again only if no reminder was logged.
- If a member does not receive the email, confirm the member’s email address and ask an administrator to review the email log.
